How to choose the right multifunction printer for your office

By Rental Solutions7 min read

A multifunction printer (MFP) combines printing, copying, scanning and often faxing in one device. Picking the right one is less about the longest feature list and more about matching the machine to how your office actually works. These are the factors that make the biggest difference.

How much do you print each month?

Start with your monthly page volume. Every MFP is designed for a recommended monthly volume; running a small machine well beyond that leads to more jams, more wear and more service calls, while an oversized machine costs more than you need. If you do not know your volume, check the page counter on your current printer or ask your supplier to read it for you.

How fast does it need to be?

Speed is measured in pages per minute (ppm). A busy shared office benefits from a faster machine because jobs queue less, but also look at first-page-out time and how quickly the device wakes from sleep. Those matter more for everyday single-page jobs than the headline ppm figure.

Do you need colour printing?

Colour is valuable for proposals, marketing material and presentations. If most of your printing is internal documents, a mono machine or a colour machine with mono set as the default keeps running costs down. Many offices choose colour capability with sensible defaults rather than giving it up entirely.

What paper sizes and finishing do you need?

  • A4 covers most office work; choose A3 if you print plans, spreadsheets, posters or booklets.
  • Extra paper trays reduce refilling and let you keep letterheads or different stock loaded.
  • Automatic duplex (double-sided) printing should be standard for any office machine.
  • Finishers can staple, hole-punch or fold, which saves time on reports and packs.

Which scanning features save the most time?

For many offices, scanning is used as much as printing. Look for a single-pass duplex document feeder, which scans both sides of a page at once, and scan-to-email, scan-to-folder or scan-to-cloud destinations. Optical character recognition (OCR) turns scans into searchable PDFs, which makes documents far easier to find later.

How do you keep printed and scanned documents secure?

Printers sit on your network and handle sensitive documents, so treat them like any other connected device. Features worth having include secure or 'follow-me' printing, where jobs only release when the user signs in at the machine; user codes or card access; encrypted hard drives with data overwrite; and regular firmware updates. These also help you handle personal information responsibly under POPIA.

What connectivity do you need?

Wired network connectivity is the most reliable option for shared office printers. Wi-Fi and mobile printing are useful for visitors and hot-desking teams. Check that the device works with the operating systems and cloud services your team already uses.

Why support matters as much as the machine

Even the best printer needs servicing. Before you decide, ask who will install and configure the device, how quickly a technician can be on site, and whether toner is delivered automatically when levels run low. Responsive local support is what keeps an office printing.

Quick checklist

  1. Match the machine to your real monthly volume.
  2. Decide on colour or mono, and A4 or A3.
  3. Prioritise duplex scanning and scan-to-email or folder.
  4. Insist on secure printing and firmware updates.
  5. Confirm installation, service response and toner supply.
